Open Source Support Desk: Choose for Your Workflow

An open source support desk manages customer inquiries as tickets, with code available to inspect and use under its license. Choose one by weighing ticket handling and channels against the hosting and maintenance your team can own.

A practical selection guide

Open source support desk: what it means and what to compare

An open source support desk is customer-support software whose source code is available under an open-source license, allowing people to use, inspect, and modify it within the license terms. It gives a team a place to receive customer questions, track ownership, and follow issues through to resolution. A support desk collects inquiries, organizes them as tickets or conversations, and helps a team follow each issue through to resolution. Some open-source desks are self-hosted, so your team runs the software on its own infrastructure; others may offer a hosted option too. Source-available software is a different category: access to code does not by itself make a product open source, and the license may limit how it can be used.

Compare more than the license label. Ask how tickets arrive, whether a ticket has a clear owner and status, what customer and order context agents can see, and how teammates collaborate. Forms can collect details at intake; notes, labels, search, and filters can help triage. For a store, check whether the system connects to the commerce information agents need. A ticketing tool should fit the work rather than leave agents copying context between systems. Compare open source ticketing options for a broader shortlist, and review self-hosted help desk trade-offs before taking responsibility for deployment.

Choose a desk for your workflow, not just its license

A support desk works best when its ticket flow, integrations, and operating model match the team's real workload. Compare how requests arrive, how agents assign and resolve them, and who maintains the service. This helps separate a useful fit from a tool that looks appealing only because its code is available.

Code access can allow changes to workflows, but self-hosting also means someone must provision and maintain the service, manage updates and backups, and plan for availability. Budget for hosting, technical time, plugins, and support as well as any license fee. A free license is not the same as a cost-free operation. Decide who handles setup and upkeep before choosing a system, especially if support coverage depends on the desk being available.

For a shared-mailbox style workflow, FreeScout centralizes conversations received through channels including email, WhatsApp, Telegram, Facebook, Slack, and live chat; it is a PHP and MySQL application. Zammad offers multichannel support, including email, phone, and social media. UVdesk is presented for e-commerce workflows, with Shopify and Magento integrations and order data linked to tickets. osTicket converts email into tickets and offers forms for collecting issue details. Helpy combines a knowledge base and community Q&A with ticketing. These options have different workflows; confirm the current license, deployment, features, and support arrangements that matter to your team before committing.

How a desk works day to day

A support desk turns an incoming customer message into a trackable issue: the team captures the request, adds relevant context, assigns an owner, and follows it through resolution. The exact steps vary by product, so test a real case rather than relying on a feature list alone.

A customer writes through a channel. The desk creates or updates a ticket, and the agent needs enough context to understand the issue, such as the customer profile, previous conversation, or relevant order information. The team assigns ownership, tracks status, and collaborates until the issue is resolved. For example, a shopper asks why a parcel has not arrived. An agent needs the order and shipping context before giving a useful update; a generic reply does not resolve the question. Forms can gather an order reference up front, while labels and filters help route or find similar cases. Check whether the chosen desk connects to the systems that hold your customer and order data, rather than assuming that the license provides those connections.

## A source-available AI desk is a different choice

The product is source available under the PolyForm Internal Use License; its code is available for internal use under the license terms, which differ from open-source licensing. A company can run and modify the code for its own use, but cannot resell it, host it for others, or redistribute it. Its hosted version runs at askmomo.eu, and the same code can be self-hosted under that license. Its AI retrieves passages from your business knowledge, drafts an answer, and checks the draft against those sources. Confident answers go out with citations; below its confidence line, it says it is not sure and opens a ticket for the team. A human answer can then be saved as approved knowledge through the Teach step. Knowledge can come from a website crawl, PDFs, Word files, plain text, and Q&A pairs. The included helpdesk inbox gives teammates a place to take over conversations. This can fit a small team that wants a documented-content first response and human follow-up; it does not mean the AI can look up or change a Shopify order.

Compare the real cost of running support

The cost of a help desk includes more than its license or subscription: account for hosting, setup, maintenance, upgrades, integrations, and the human time required to resolve tickets. Comparing these costs against the support workload helps reveal whether self-hosting or a hosted plan is practical.

Self-hosted software may avoid a subscription fee, but infrastructure, engineering time, upgrades, plugins, and support can still cost money. Zammad offers self-hosted software, while its hosted plans are reported at EUR 7–25 per agent monthly; AI calls are separately priced at EUR 0.03 per call. UVdesk's open-source version is free, with paid plans also offered. Those figures do not make the products directly comparable: hosting, workload, and required services affect the total cost.

momo uses a flat plan fee with an included number of AI conversations, not a per-resolution charge or credit packs. Plans are priced in euros: Free is EUR 0, Starter is EUR 29 monthly or EUR 319 yearly, Growth is EUR 129 monthly or EUR 1,419 yearly, and Scale is EUR 399 monthly or EUR 4,389 yearly. Yearly billing is eleven times the monthly price. Paid plans include 500, 2,000, or 6,000 AI conversations per month respectively; Free includes 30 conversations as a one-time allowance. A paid conversation can contain up to 25 AI replies, and a Free conversation up to 10. Compare those limits with your expected workload and the human time still needed for tickets.

Run a representative support question through the workflow

Before choosing a desk, trace one real customer issue from first contact to a clear resolution. That reveals whether the system captures the context and ownership your team needs.

  1. 1

List the channels customers actually use

Write down whether requests arrive by email, website chat, or another channel, then check which ones the candidate desk supports. For momo, live channels today are the website widget, email, and Slack; Shopify is in preview, while WhatsApp, Instagram, and Messenger are coming soon.

A channel list grounded in what is available today.

  2. 3

Agree on owner, status, and handoff

Decide how the team assigns a person, tracks progress, and passes an unresolved issue to someone who can act. In momo, teammates can take over conversations live, and handoff collects the details your business chooses before a ticket reaches a human.

A known human owner for questions that need judgment or action.

  3. 4

Name who will maintain the system

For a self-hosted desk, assign responsibility for the server, updates, backups, and availability. For any option, decide who maintains forms, labels, knowledge, or integrations as the support workflow changes.

When a source-available AI desk fits

For a team handling repeat questions, a documented-content first response can sit alongside a human inbox, provided the team keeps ownership of uncertain cases.

Answers grounded in your content

momo retrieves passages from your website, documents, plain text, or Q&A, checks its draft against those sources, and cites confident answers.

Visitors can see the knowledge behind a confident response.

Uncertainty reaches a person

When momo falls below its confidence line, it tells the visitor it is not sure and opens a ticket in the shared helpdesk inbox.

The team can handle questions the AI cannot confidently answer.

Teach approved answers

After a human responds, the team can save that answer as approved knowledge through the Teach step.

A resolved conversation can add to the team's knowledge.

Plan for conversations and human coverage

Every plan includes the helpdesk inbox; the right tier depends on monthly AI conversation volume, agent needs, and the channels or tools your team uses.

Included: The helpdesk inbox is included, including on Free. · There is no per-resolution fee and no credit packs. · A paid AI conversation can hold up to 25 AI replies; Free allows up to 10.

Open source support desk questions, answered

Use these checks to separate license permissions from day-to-day operating costs and workflow fit.

Is an open source support desk actually free to run?

The software may have no license fee, but running a self-hosted service can still require hosting, technical setup, maintenance, upgrades, and support. Budget for the people responsible for keeping it available as well as the software itself. A free version may also differ from paid offerings.

What is the difference between open source and source-available support software?

Open source software is governed by an open-source license that grants defined rights to use, inspect, and modify the code. Source available means code can be accessed, but the license can restrict use or distribution. momo is source available under PolyForm Internal Use: company use and modification are allowed, but resale, hosting for others, and redistribution are not.

Which open source support desk is suitable for an e-commerce team?

Start with the context agents need for order questions, then check channels, forms, and integrations against your store workflow. UVdesk is described as having e-commerce integrations for Shopify and Magento, while osTicket offers email-to-ticket conversion and configurable forms. Verify current capabilities and fit for your setup before selecting a tool.

What should I budget for when self-hosting a helpdesk?

Include server hosting, setup and maintenance time, upgrades, backups, security upkeep, and any plugins or support your workflow requires. Assign a person or team to each responsibility. Compare that operating cost with a hosted plan or flat-fee plan using the coverage and workload you actually need.

Can FreeScout handle multiple customer support channels?

FreeScout is described as centralizing conversations from email, WhatsApp, Telegram, Facebook, Slack, live chat, and other channels. Check that the channels and deployment details you need are supported in the current version and configuration. The channel list alone does not establish that your specific workflow or integrations are covered.
